Maintain a product catalogue with clear ownership

A warehouse renames an item, the website retains its old title and sales staff search for a different code. Neither the design nor the server speed may be responsible. The update process itself is unclear.
Catalogue maintenance includes price, availability, descriptions, photographs and categories. Different people may prepare each field. Without an agreed owner, a corrected value can be overwritten by the next import.
Assign a source to each field
Record where product identifiers, prices and stock levels originate. Descriptions and photographs may have different sources. A warehouse system could manage quantity while an editor writes customer-facing copy. Those responsibilities need to cooperate.
The WooCommerce product-management guide distinguishes product data and types. A practical project also needs an agreement about automated fields, manual edits and which value survives the next synchronisation.

Use a stable identifier
Matching records by product name is fragile: names change and differ between languages. Use an agreed stable identifier. Variations need correctly associated identifiers, prices and stock too.
Start a bulk change with a small sample. Compare the source record, public product and basket information. A wrongly mapped category or size can escape aggregate reporting while preventing an individual customer from choosing correctly.

Define when an update is complete
Agree when a change should appear and who checks it. An import success message does not prove that every field is correct. Decide how removed, unavailable and temporarily hidden items behave before the situation occurs.
- Identify authoritative sources and the people responsible.
- Preserve identifiers and variation mappings.
- Review photographs and descriptions before publication.
- Test bulk changes with a representative sample.
- Document investigation and recovery routes.
A short change log should capture the source change, update time and checks performed. During online shop development, these agreements deserve as much attention as the product-card layout. Reliable information comes from a maintained process.
